Position Summary:

We are seeking a versatile Administrative Assistant to join our accounting firm. In addition to providing general administrative support, the selected candidate will play a key role in bookkeeping, accounts payable and receivable, and client support. This position is ideal for someone organized, detail-oriented, autonomous, and comfortable using accounting software.


Key Responsibilities:

Administrative Duties:

  • Greet clients in person or over the phone, ensuring excellent customer service.

  • Manage emails, phone calls, correspondence, and document filing.

  • Prepare and proofread various administrative documents (letters, reports, forms).

  • Coordinate appointments and manage schedules for firm professionals.

  • Handle document management and electronic archiving (e.g., tax files, client records).

Accounting Duties:

  • Perform full-cycle bookkeeping for various clients (data entry, bank reconciliations, adjustments).

  • Manage accounts payable and accounts receivable.

  • Handle billing and follow up on outstanding payments.

  • Prepare tax reports (GST/QST) and other periodic filings.

  • Assist in year-end preparation and tax return documentation.

  • Provide technical support to clients using accounting software (QuickBooks, Sage, etc.).


Requirements:

  • College diploma (DEC) in administration, accounting, or a related field.

  • Minimum of 2 years of experience in a similar role (preferably in a firm setting).

  • Strong command of office tools, especially MS Office Suite and accounting software.

  • Working knowledge of accounting principles and Quebec tax regulations.

  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.

  • Discretion, professionalism, and a keen attention to detail.

  • Comfortable working with clients and within a team environment.


Assets:

  • Experience working in a CPA or accounting firm.

  • Proficiency with QuickBooks, Sage 50, or other accounting platforms.

  • Bilingualism (French/English), both written and spoken.
